Clearing out the PLU not found Buffer on the SAM4s SPS-520RT register

This is one of the most common calls we receive. My register errors that memory is full. Unless your registers memory allocation was not set up properly this is probably not true. What is happening in most cases is you are adding UPC items using the PLU not found feature which is a great way to add them.

The error is misleading in this case. the memory that is full is the buffer holding the not found PLU's you just added. The maximum amount is 100 regardless of the amount of memory your register has on board.

Watch the video and we explain how to reset the buffer and get you back on track. Of course if you are not using the PLU not found feature to assist the programming of new items it can really indicate the memory has been filled. Even if that is the case don't panic, we can solve most of those cases too. Important thing to do in that case is nothing until you have spoken to an expert. Backing up your SAM4s cash register Data

Most of the SAM4s cash registers on the market today can have their data backed up in several methods. If the model begins with SPS like for example the SAM4s SPS-2000 or SPS-520 the register can be backed up to a SD card, flash rom or computer. If the model begins with ER that there is a good chance that the register will have an SD card slot as well as a RS232 port to connect to a PC.

Almost all of the SAM4s cash registers sold in the last five years also come with free utility software that allows you to not only back up your register but program it too. That same software may also allow you to import files into the software for download into the register.

Sadly many cash register dealers won't give you the software when you buy the register. That is ridiculous as it is provided for free by SAM4s. If your dealer did not give you the software check out our resource page for the SAM4s cash register models and you may locate a free download of the software.

If not contact the dealer you bought it from and demand they give you the software. It cost them nothing and should have been included in the purchase.

What does the RA button on my cash register do?

The "RA" button on your cash register is a feature that allows you to receive and account for payments without increasing your sales. RA stands for "Received on Account" and is used when customers are making a payment against their account or balance with the store NOT for a purchase.

Let's say you allow customers to charge purchases to a house account. They come in to make a $50.00 payment on their account not buy $50.00 worth of goods. You would use the "RA" feature which will account for the $50.00 in the cash register and whatever media was used to pay (CASH, Check, Charge) but will not increase your sales.

Your sales were increased the first time when they actually bought the items they charged. If you going to operate this way you will need a payment key for house charge. When your customers buy something to be charged you pay it off to a house account/charge payment key. Your sales will be increased on that day but not your cash, check or credit card payments.

Some RA FAQ's

1. Do not register sales with the RA button, it won't work, it won't tax, it won't report to a department.
2. Most cash registers can use any media you accept using the RA function
3. You can't use the RA function during a sale.
4. Your cash register may or may not be able to be put under manager control.
5. The RA function DOES not keep customer balances.

Please keep in mind the "RA" function is simply for tracking media coming into your cash register with making a sale. It does not track a customers balance, account number etc!

Almost every cash register including entry level registers have the RA function. All SAM4s cash registers I'm familiar with have one as well as all the Sharp cash registers I've worked with.

Tax programming on the SAM4s ER-5215M

I helped someone on the phone yesterday program the tax rate on his SAM4s ER-5215M cash register yesterday. Pretty easy task when you have the programming manual. But here is a quick guide to programming tax on the SAM4s ER-5215M cash register. In this example I'm going to set tax rate 1 at 8.5% in a simple flat rate tax NO GST and NO VAT like most states sales taxes are set up. If in doubt make sure and check with you state department of revenue of the rate and type of sales tax you should be collecting. Check with your own CPA or bookkeeper as well!

OK here goes

1. Key To P (program mode)
2. Enter 8.50000 Press "Tax Shift 1" Press "Cash"

Your done, make sure and turn the key out of P to R and test!

Couple quick notes lets say you wanted to change Tax Rate #2 not 1 then replace "Tax Shift 1" with the "Tax Shift 2" button if Tax 3 then use Tax Shift 3, if tax 4 then use Tax shift 4. Pretty easy huh!

If you tax was 8% your first entry would be 8.00000 or 9.25% it would have been 9.25000 again pretty easy huh!

Keep in mind THIS DOES NOT MAKE A DEPARTMENT OR PLUS TAXABLE IT SIMPLY SETS THE RATE. You must program the tax status of a group or PLU to make it taxable or not and that is a different post!

Programming the SAM4s ER-5200M Cash Register

The ER-5200M is a great register that is pretty easy to program. Following is some help on programming the tax rates for this register.

Straight Percentage Tax Rate Programming


When tax requirements may be met using a straight percentage rate, use the following method to
program a tax as a straight percentage.

Programming Straight Percentage Tax Rates and Status

1. Turn the control lock to the P position.

2. If the tax is a percentage rate, with a decimal. (0.000-99.999). It is not necessary to
enter preceding zeros. For example, for 6%, enter 06.000 or 6.000.

3. For the type of tax:
If the tax is a percentage added to the sale (normal add on tax), enter: 0
If the tax is a percentage value added tax (VAT; calculated as part of the
sale), enter:2

4. Enter 0 here for all taxes, unless if you are programming tax 4 as a Canadian GST. If tax
4 is a Canadian GST, enter the sum of the options below:

OPTION VALUE = SUM

GST (tax 4) is taxable by rate 1? Yes = 1 No = 0

GST (tax 4) is taxable by rate 2? Yes = 2 No = 0

GST (tax 4) is taxable by rate 3? Yes = 4 No = 0

5. Press the Tax Shift key for the tax you are programming.

6. Press the CASH key to end programming.

Below is an example of a tax rate of 8.8% NON GST regular sales tax rate
