The ER-5200M is a great register that is pretty easy to program. Following is some help on programming the tax rates for this register.
Straight Percentage Tax Rate Programming
When tax requirements may be met using a straight percentage rate, use the following method to
program a tax as a straight percentage.
Programming Straight Percentage Tax Rates and Status
1. Turn the control lock to the P position.
2. If the tax is a percentage rate, with a decimal. (0.000-99.999). It is not necessary to
enter preceding zeros. For example, for 6%, enter 06.000 or 6.000.
3. For the type of tax:
If the tax is a percentage added to the sale (normal add on tax), enter: 0
If the tax is a percentage value added tax (VAT; calculated as part of the
sale), enter:2
4. Enter 0 here for all taxes, unless if you are programming tax 4 as a Canadian GST. If tax
4 is a Canadian GST, enter the sum of the options below:
OPTION VALUE = SUM
GST (tax 4) is taxable by rate 1? Yes = 1 No = 0
GST (tax 4) is taxable by rate 2? Yes = 2 No = 0
GST (tax 4) is taxable by rate 3? Yes = 4 No = 0
5. Press the Tax Shift key for the tax you are programming.
6. Press the CASH key to end programming.
Below is an example of a tax rate of 8.8% NON GST regular sales tax rate

The last two zeros are the answer to Steps 3 and 4

i have a sam4s 5200m and have an error message over limit error/e07. can anyone help with what this error message means. many thanks
ReplyDeleteI did not look up in the manual however in most cash register Over Limit means you are trying to enter to large a dollar amount into whatever is giving you that error. This is to prevent overrings in open PLU or Group entry in most cases although some registers also control the media keys in this way.
ReplyDeleteAn example would be if you had an open entry or even a pre-set that could be over written and it was set not to allow anything over 4.00 to be entered and you entered $4.01 it will give you that error.
Here right from the manual page 104"Program 200 - PLU Price/HALO Programming If a PLU is open, set the HALO (high amount lock out) here. If a PLU is preset set the preset price
here."

ReplyDeleteThe pre-set tender keys are Macro Keys. Page 155 in my manual (sometimes page numbers vary depending on the age of the manual)

I have a sam4s 5200M. I used the pc utility software to change some system and print setting and now my PLU and Daily Sales Report do not work. They were working before I made changes. I have tried setting everything back to the likely defaults to no avail. Any suggestions you have will be greatly appreciated.

Yep program 700 on page 156 and it allows you to program the lines of logo text. you can also program the 5200M to use a graphic logo and then use the pc utility to download a black and white logo.

Are you trying to communicate with your PC? If so you do have to program the register for that. See page 87 of the manual. Also you will need the correct cable of course.

ReplyDeleteIt sounds like you have programmed one of your payment keys, or departments to require validation "warning reg valid" so you need to do an init clear to first get out of this error. After the error has been cleared go through the same as the last transaction and see where the validation is required and re-program that item. It will lock up again of course while do this test.

ReplyDeleteSorry but I have to assume operator error. I would double check that you are entering the code correctly CLERK XXXXXX CLERK do not put in leading zeros etc unless you programmed them into the code. The above it for coded entry for direct it is just # Clerk and 0 Clerk to sign off.

Thie register has been up and running for years and I am the new owner and found the book but it says to turn from from section to another to input info and I am new to this and confused where to start. ReplyDeleteNancy I reccomend spending some time with a tech to learn how to program since you are not the person that bought the cash register who would have been trained to do those things. Everything you mentioned can be done of course. Your special items are just programming a PLU and you could even set it to be open or pre-set and you can change the name whenever you wanted to as well. Start with programm 100 page 99 for the items. For the discount key (coupons) Program 70 page 147 is a good place to start.

Once you have programmed a few items it all starts to make more sense. Yes we do charge for the support by the hour. The rates depend on how much time you need. In your case I don't think you would need much to get you going. Some end-users pre-pay for time so they can call/email whenever they need help and doing it that way the rates come all the way down to $80.00 per hour. We also offer a short phone consultation for $50.00which often solves the issue.

ReplyDeleteWith the SAM4s 5200M cash register the items that print to the kitchen are controlled by what group they are link to and the group is programmed to go send items linked to it to the kitchen printer or not.
ReplyDeleteSounds like maybe you moved some PLU group links to different groups and I would guess that the groups you moved them to are not programmed to send items to the kitchen printer. Page 153 of the manual

I have a ER-5400M and was adding new items and noticed it wasn't charging taxes so I tried fix it and now my register isn't charging taxes on anything!!! Please help
ReplyDeleteIt sounds like you wiped out your tax programming on your SAM4s ER-5200M Cash Register so it will need to be re-entered.
ReplyDeleteYou only have to set the rate once and than you make items taxable or non-taxable so you should not have been programming tax at all in this case. The fact that it does not charge tax on anything now indicates the rate was removed. If charging tax on some items still than all you need to do is make the items that are not being taxed taxable. That register can have 4 tax rates so you will probably be using tax rate 1.
I have an ER 5200M I need to know how to delete a program clerk number. I absolutely cannot delete at clerk in number that is already program desperately need to do so please help thanks
ReplyDeleteSo you can't delete a clerk number in the SAM4s ER-5200M. You will need to reporgram the same one. If not used change the name to Clerk Five for example and remove the code by setting it to zero. If you don't want it used at all change the code number to something only you know.

ReplyDeleteWhen I try to complete a transaction it says 'req valid' yet when I press Valid, it says 'req port setup'.
Is there a way to bypass the validation requiremt?
You can only bypass by performing an init clear (kind of like re-booting a PC) however that will not fix the problem. You need to figure out where you changed the program to require validation and change it otherwise it will just continue to happen.

ReplyDeleteYou could use price levels that would be $0.25 less than the normal price or you could just use a discount key to deduct $0.25 each time you press it following an item sale.

I keep getting a comm log file missing error when trying to up program to laptop. I'm getting crazy and cannot figure it out! I used to get Unable to initialize DAO/Jet db engine but that seems to have disappeared for the moment. Any help is greatly appreciated ..

I have a ER-5200m, I have 2 issues that are occurring. The first is a error 29 which has started showing. This is stopping me from syncing to my laptop. But before this error started to show, i was able to link, but when trying to load the PLU files, it would complete the transfer, but nothing would be on the till. Any advice would be greatly appreciated.
ReplyDeleteNot sure about the error 29 however if you are using the free utility software you first must upload the register program even if empty before creating or editing items before you send to the register. At least that is what we have always been told to do first. Is that something you did?

Well probably a simple fix here. The ER-5200M is capable of 4 tax rates. First thing to check is did you change the rate you are really using? If items are taxable by tax rate 1 and you changed tax rate 2 of course that would not work.
ReplyDeleteAnother potential cause is that you have changed the sales tax rate correctly however the items must still be programmed to be taxable in the first place by the same rate. Get people call all the time that have programmed a rate but machine does not charge tax, because they forget to program the items/departments taxable!

hi i have a er5200m cash register which i am currently trying to reprograme. I have installed the software. but still currently getting the error mess the register is not ready... I am not sure what to do. I have a new usb converter, which i have connected and still getting the same error mes. I have just manually reprogramed the cash register... which is pretty much completed, expect have also a problem it is not accepting the price changes, I have put in 200 subtotal, selected the plu( which have been pre set from previous owner), i am trying to set them back to 0 as these are open, but when i press o or any amount for that matter and them press x/time key and then cash... it shows programe mode, and the amounts do not change... some help would be great... thanks
ReplyDeleteOk wish I had an easy answer but the error is pretty wide open at this point. It could be you have the USB to Serial adapter on the wrong USB port if you have multiple as most PC's do. You could move it from one to another and try each one. You could go into device manager and make sure you have plugged into the correct one that you hast selected in the software.
ReplyDeleteAlso could be your USB to serial adapter? We sell one that we have deployed over and over that works well, we have seen cheaper and more expensive one work and some that don't. We don't try to fix those, just go with what works. We sell them for $50.00

Hi, i have an es 5200m. I need to program clerk buttons but i only have the one clerk button (top right corner) and not the four that are shown on demonstration videos. When i press clerk the alarm sound goes off. The register is obviously programmed to work as is with no clerk sign on (unless one is signed on already). We have a problem with theft so im desperate to make people accountable.

You only need the one cashier button for security. You need to program for compulsory log in clerk, pop up, and use secret codes. If you used 4 buttons they would just press someone else button, if you don't make pop up they will just ring under the last cashiers number and of course if not made compulsory it would negate all your efforts. Yes all this is a pain in the rear, your cashiers are going to whine and moan. Don't give in because in our experience it is the one crying and whining the most that is stealing the most. They often will quit soon after you tighten up. For anyone else reading this, if you have employees it is a matter of time before you are stolen from not a matter of "If"
ReplyDeleteBest to also limit to one cashier if possible? The more people in the drawer even with the codes it can be hard to pin on someone. You may also want to invest in a text inserter to connect keystrokes to text inserted on a DVR system and never tell them!

Samantha you are right on the money with import the register first. All the SAM4s util software work that way, even if your cash register is blank you upload first then you can edit/add etc. Great question thanks for posting it! Good luck

I saw someone with a similar comment but the answer did not help. I am trying to program my Sam4s with a straight percentage tax rate. My tax is 7.975 So I enter 7.97500 and try to hit tax shift (aka Tax 1 on the keys)when I hit this button is when I get Warning Over limit Error. I have tried it with out the 00 I have tried just 7 but always get over limit error.

On the sam4s It's a brand new machine so I'm still in set up there are no transactions entered yet. Yes I was in Program mode. I have not been able to program anything else cause I'm stuck on 3rd step of setup.

What do you mean my 3rd step of set up? The error you encountered is a Reg mode error most often for to many digits it all. Unless something wrong with the machine you have not finished something you started maybe even whatever you did for step #2

Thanks Dave. The computer went down so I have not been able to post next comment. I have a brand new machine so the steps it gives are.Unpack, Install paper, clear all memory,set tax rate. I thought I had the machine clear since it was new. I tried to do a memory clear again but I do not get the RAM all clear it thinks I should. I follow the steps but holding Subtotal (945)and moving key to S postion does nothing. Any ideas why it would not do a memory clear if that is needed before I can program in a tax rate?

ReplyDeleteTlburch so you have to make the discount taxable that way as an example if you apply a 15% discount the register will apply a 15% discount plus the tax on the 15% so in effect tax the sale after the discount. Same method for percentage discount or dollar amount, however I know some cites require you to pay tax on dollar amount coupons where they do not on percentage discounts so make sure and check with the state DOR if you have any doubt!

ReplyDeleteIt sounds like you may have maybe programmed those buttons as inactive. I would need to know what program code you used. You can take a program scan and it will show you the settings for each department or PLU and if you made it inactive it will show.

Helen, the macro programming is Program 1500 - Macro Key Sequence Programming and in my manual it is on page 155 (manuals differ depending on release) In table of contents it is under Misc. Programming.
ReplyDeleteAs far as you cashier log in / log off question I don't belive you can do that. I did not study the manual however here are the way most registers work. You can have cashiers set for POP UP and after every transaction they auto pop up and the next cashier logs in again even if it is the same cashier. So this forces a log in every transaction. The pop up method provides the best security, however many people don't like logging in every transaction. On the SAM4s 5200M you can also have Stay Down cashiers which mean once logged in the cashier stays logged in until they log off. This is the most common set up on the SAM4s ER-5200M register. When set up in the Stay Down mode you must log off before logging on. I'm pretty sure that is the only way to log a new one in is after the log off.

ReplyDeleteEasy is a very subjective term so I will answer by saying some registers program levels easier then the 5200M for sure. With the SAM4s ER-5200M the level programming is done with the modifier function and you then program a new PLU and toggle between them with the Mod keys. Look at the program 70 on page 138. The next model machine up does program price levels easier.

have changed a plu to be a cash out button for when people want to take money out over eftpos, i currently have a button programmed as eftpos but i can only use it if i have the key turned to X i would like to change it so it could be used in reg mode. i have looked in the manual but could not find the option to change this, the closet option i got was here: http://www.ebs4pos.com/Registers/pdfs/5240mManual.pdf page 101 but could not work it out i kept getting an error when trying to program the N9 part.
i also have a problem with the till changing plu's pricing
when i program a plu it does not change unless i use more then one plu eg:(p-mode 200 sbtl plu17 enter price x/time then select plu20 enter price x/time then cash) but this will change plu17-20 to the same price as 17 even if i enter different prices

Hello, the n9 is just to override a pre-set price. If you have this PLU set to pre-set the only way you can enter an amount is in X if you have that setting. Perhaps don't make this item preset. You will find the setting to be in N1 to make it open. hope that helps

ReplyDeleteYou need to tell that PLU in PLU Status programming that it is Hash or Non-Add. Still will count in the drawer but not the sales totals. Pretty easy just look in PLU Status programming SAM4s

ReplyDeleteI have spent about 2 weeks studying this manual and programming this thing.....I had it all perfect.. ran all my test... was ready to take it back to the rest.. when all the sudden the thing says (after I had completed a transaction...) warning Req. Valid....

ReplyDeleteGena, you have something program for validation required. Could be an item or a payment key. You need to do an init clear to get out of that state and find which item you programmed for Comp Validation and re-program. It will continue to happen until you find and fix it. The discount key is programmed under the function key programming. They can be pre-set, open, taxable or not, item or sale. The programming is lead through and pretty easy.

SAM4s cash register support
Hi my Sam 4s er5200m would not send orders to the kitchen printer today. It printed twice at the register but nothing went to the kitchen printer. I checked the manual but don't know how to fix this. Please help. Thank you Mary
ReplyDeleteThe 5200M printed the kitchen order back to the register because it lost the kitchen printer. Could be as simple as kitchen printer is turned off, could be a cable issue. It prints back at the register so you know it did not find the kitchen printer. We can trouble shoot this for you for our normal service rates at 800-863-2274

Hi I am a new owner of a buisness and I would like to erase the user defined logo all together. I am a Mac user and do not have a Lc or the cord to connect to the register. Is there a way to just erase it internally.

ReplyDeleteThe ER-5200M already has a credit tender button by default unless you have removed it. You can add it back on with the function key location programming.

I have set my % key to 5% however it will only work on each item. As soon as I press subtotal the key comes up with an error. Is there anyway to get this to work on subtotal instead of just items.
ReplyDeleteYes, you have to program the discount button to sale not item. It can only be one or the other. If you require both you need two discounts buttons, one programmed for item the other for sale.

When I turn the p key on my sams4 5240m it dont show program mode only manger mode and a buzzing sound anyone can help tahnks
ReplyDeleteThat normally indicates that you have started something in another mode and have not finished it. Maybe you started a function in manager mode and have not finished it yet.
ReplyDeleteLong shot if not what is described above is the mode lock is going bad, however in the thousands of SAM4s registers I have deployed that is incredibly rare. I would still lean to the first answer.
Look back at the journal tape to see the last transaction completed or started, that may give you some insight to the issue.
I am trying to add additional cashiers to my ER-5200M. It has a limit of 10 clerks, but our other registers have a limit of 50. How can I increase the number of clerks to 50 on this register? I couldn't find an answer in the manual. Thanks so much!
ReplyDeleteIt has been awhile since I have programmed one of those; however I think that will be in memory allocation for the number of clerks and if I recall you may also have to increase the number of guest checks too on that model. I think on that model every clerk also has to have one check. Maybe wrong on that part so just start with the clerks. CAUTION when you change memory allocation it wipes out your programming in almost every other SAM4s this one probably the same. Have a back up. And of course before you do this change do a memory allocation reading of a machine that works and compare.
ReplyDeleteThanks. I found something in the manual about the Memory Allocation Program. I am trying to change the # of cashiers (we are a thrift store) from 10 to 25. (This is on p. 78 in my manual). I am trying to follow the steps but all I can input is the PLU line (set at 1000). When I go to the next function (Clerk#) I press 2 x/time, then I press 25 CASH, but it just beeps and says WARNING! SEQUENCE ERROR Am I doing something wrong? I tried changing it to SBTL instead of CASH, but it still gives me the same warning message. (?)
ReplyDeleteI think you need to increase the guest checks first then try the cashiers. But if you have other registers read them first and match it up. We also offer support for a fee if needed you can call and talk to a tech.
